Job Description:

The Admissions Team Manager is responsible for oversight of all admission team members and operations. Ensures superior customer service is provided to all internal and external customers. Create and maintain consistency and efficiency in admission processes when determining hospice eligibility and on-boarding of patients to the agency. The Admissions Nurse Manager serves as the leader to the admission team and back-up to the Vice President of Access. This role includes ensuring regulatory compliance as related to Medicare, State, Local, The Joint Commission and JourneyCare Regulations. The Admissions Nurse Manager position will be located at our Barrington, Illinois office. The Admissions Team Manager will be located in our BARRINGTON Office. The Days are Mon - Friday.  The Hours are 9am to 6pm.

  • Manages team members to maximize performance and productivity
    • Interprets operational indicators and fluctuations in census and workflow, adjusting staffing resources accordingly
    • Oversees all team members including hiring, orientating, coaching, supervision, evaluation and effectively management performance to ensure team members possess the required skills to deliver high quality service
    • Provides ongoing continuous management coaching to support the growth and development of team members
    • Ensures the appropriate distribution of workload and monitors productivity level and productivity reports per area to maximize efficiency, assure adequate staffing levels and control costs
    • Manages reviews and revises admission staff schedules and payroll on a daily/weekly/monthly basis
    • Creates and maintains admissions schedules and Accrued Time Off (ATO) requests
  • Develops systems and processes in collaboration with appropriate departments to ensure systems scalability and increased capacity to support continuous growth
    • Maintains admission procedures and communicates changes to ensure team members are consistently following the established best practices
    • Initiates process improvements and changes to support continuous growth while ensuring compliance and agency goals are achieved
  • Acts as subject matter expert for the admissions and other clinical staff
    • Provides practice leadership to admission team and other clinical staff to ensure continuous process improvement of practices and procedures
    • Ensures compliance with complex hospice patients upon admission
  • Maintains current knowledge of hospice industry trends, Medicare Conditions of Participation and the Joint Commission standards and ensures that all clinical services are delivered in compliance with regulatory bodies
  • Works with Medical Directors, Chief Medical Officer and other Senior Leadership members in planning and developing new clinical practice models and resolving specific clinical issues
  • Provides back-up support for the admission RNs
  • Participates in manager on call rotation
  • Meets and greets with Walk In’s in the Barrington CareCenter. Has the ability to have the hospice conversation and obtain consents. Acts as a backup to offer tours of the Barrington CareCenter when needed.

Experience and Skills:

  • Bachelor’s degree in science in nursing required
  • Licensed registered nurse in the state of Illinois
  • Certified Hospice and Palliative Nurse, preferred
  • Minimum of 5 years’ healthcare experience, hospice experience preferred
  • Three years of supervisory or managerial experience, preferred
  • Experience conceiving, designing, developing and executing project plans and policies and procedures
  • Experience with personal computers, database applications and Microsoft office software including demonstrated intermediate to advanced-level Word, Excel, PowerPoint and Visio experience and knowledge
  • Ability to manage upward
  • Excellent delegation and follow through
  • Excellent verbal, visual and written communication skills
  • Customer Service Skills
  • Must be flexible, embrace change and able to effectively shift priorities
  • Strong organizational and time management skills and ability to manage multiple projects simultaneously

  • Exceptional computer skills (Word, Excel, PowerPoint, EMR, internet, e-mail, voicemail)

  • Strong analytical skills including data collection, aggregation, manipulation, analysis and presentation
  • Ability to type and ten key by touch
